How to set up a new customer in Sage Instant Accounts

When you gain a new customer, you will need to set up their details in your Sage Instant Accounts.

Click on the Customers module on the left hand side and then New at the top of the Customers List.

A series of Sage Wizard windows will appear like this:

Click on Next and a new window will appear asking for the customer's name.

As you enter the Customer's name in the next window, Sage will automatically enter an Account Reference based on the first 8 characters of the customer name but you can edit this customer reference here.  However, please note this is the only time the customer reference can be edited.

So if your Company has a particular method for allocating reference numbers, make sure you do this now. For example some companies like to use three letters and three numbers to keep their account references similar - for example - C Dawson & Sons might be recorded as DAW001 and Dawson & Co could be recorded as DAW002.

Click on Next and a new window will appear, as shown below, asking for the customer's address, telephone and fax details.

Enter these details and click Next.

A similar window will appear asking for further contact details for your customer, including email address and contact name.  Enter these and click Next.

The next window that appears will ask for your customer's Credit Limit.  Enter this if required.

It will save you time later if you enter the correct Nominal Code for your customer in this window because this will then be automatically entered on invoices that you produce on Sage. Similarly, enter the correct VAT rate that you will be charging this customer on your invoices. Click Next.

The next window that appears will ask for details about the settlement and payment terms that have been agreed with your customer. Even if you have not agreed terms with your customer yet, click the Terms Agreed box, otherwise Sage will keep telling you that terms have not been agreed with this customer every time you click on the customer.

Click Next and another window will appear asking for your customer's bank address details - complete if required.  Click Next.

Another window will appear asking for your customer's bank account details - complete if required.  Click Next.

Another window will appear asking you whether you wish to post an opening balance on your customer's opening balance. Click on the appropriate answer, although in most cases the answer will be No.  Click Next and then Finish.

Your new customer will now appear in the Customers List.
