FAQ - Sage Instant Accounts

Question
How to customise an invoice template in Sage Instant Accounts
Answer

Sage Instant Accounts allows you to configure a Sage template to produce invoices with your Company logo and information.

This eliminates the need for both Company headed stationery and Sage stationery. In this example we are going to design an invoice using a Company logo at the top.  The Company information has already been saved on our computer as a logo/image.

To begin to set up the invoice template, go to Tools and click on Report Designer.

A new window will open. It is easiest if you go through the Sage preset invoices to see which preset layout is the closest to how you want to present the information in your invoice.  Click on "Open an Existing Report" in the Getting Started section.

Invoice Template 7

Find the location of the Sage Templates Layouts on your computer - they should be in C : ProgramData : Sage : Accounts : 2009 Instant : Company.000 : Layouts or a similar location.

Invoice Template 2

Scroll down on "Files of type" to Layout Files and click.

Invoice Template 8

The window will then have all the template layouts in it.

Click on the most appropriate template, for this demonstration we have chosen INVPRCA4.layout which is an A4 template for invoices and credits with a unit price and no discount given to customers. If you need to use a different template, then decide which is the best for your situation and choose that template. The INVPRCA4 layout looks like this:

Invoice Template 3

The template can be adapted to suit your requirements either by moving the information fields or deleting them if they are not required.

To add additional fields, select the field required using the boxes at the top right of your screen and click on Insert. The fields can be moved either by dragging them to the required location or by using the cursor keys.

To insert your Company logo, which you have already saved on your computer, select Toolbox and then Image (embedded).

Left click on the template where you want to position the logo.  A window will open so that you can find the file with the Company logo. Select it and your logo will appear on the template inside a box with 8 small boxes around it.  These small boxes can be used to move the logo and resize it.  Once you have resized your logo to fit the page, use the cursor keys to finalise its position.

Finally right click on the logo and select Order and either Send to Back or Bring to Front as preferred.

You can add information, for example at the bottom of the template we clicked in the box "Total Net Amount" and double clicked at the end of the wording and added a £ sign.

Invoice Template 4

Then we did the same in the "Carriage Net", "Total VAT Amount" and "Invoice Total" boxes.

You can preview the changes you have made to the template by clicking on "View" at the top, and then "Preview":

Invoice Template 5

Save the Template with an appropriate name or use the Save As option if you don't want to lose the original template.

To use the Invoice Template you have created to produce invoices for your clients, use our Help Page titled Invoicing a client using an invoice template.
