How do I customise a statement template in Sage Instant Accounts

Sage Instant Accounts allows you to design a template in order to produce statements with your own Company logo and contact information.

This means that you can save statements in PDF format ready to email to your customer.

 

In this tutorial we are going to design a statement using our Company logo at the top and using an image at the foot of the page with our Company contact information.  The Company information and logo have already been saved in two files on our computer.

 

To begin to set up the statement template, go to Tools and click on Report Designer.

A new window will then open that looks like this:

It is easier to adapt one of the Sage pre-set statement reports than to create a new one yourself.  Click on 'Open an existing report' and a new window will open so that you can open an existing Sage report.  Your computer needs to find the reports which should be located on your computer in C > ProgramData > Sage > Accounts > 2009 Instant > Company.000 > Layouts (but your computer may have located these files in a slightly different place):

Scroll down on "Files of type" and select 'Layout Files''.

 

The window will then have all the pre-set Sage template layouts in it, like this:

You can click on each of the Statement layouts in turn until you find a layout that is the closest to the layout you want to achieve. For this tutorial we have chosen the STATOSSS.layout which is an A4 template for a statement without a tear-off slip for remittances. Choose the best layout for your situation and open it.

The template can be adapted to suit your requirements either by moving the information fields or deleting them if they are not required.

We wanted to insert our Company logo at the top of the template so we deleted the 'L_Name' and 'L_Address fields' first by right clicking on each field and then selecting 'Delete'.

To insert the Company logo, which you was already saved on our computer, we selected the 'Toolbox' tab and then 'Image (embedded)'.

Left click on the template where you want to position the logo.  A window will open so that you can find the file with the Company logo on your computer. Select the file and your logo will appear on the template inside a box with 8 small boxes around it.  These small boxes can be used to move and resize the logo.  Once you have resized your logo to fit the page, use the cursor keys to finalise its position.

Finally right click on the logo and select 'Order' and either 'Send to Back' or 'Bring to Front' as preferred.

We then inserted our Company contact details at the bottom of the template in a similar fashion.

If you want to add additional fields, select the field required using the boxes at the top right of your screen and click on Insert.

Fields can be moved either by dragging them to the required location or by using the cursor keys.

You can preview the changes you have made to the template by clicking on "View" at the top, and then "Preview":

Save your Statement Template with an appropriate name or use the 'Save As' option if you want to keep the original template.
