FAQ - Payroll and Invoicing (general non NHS)

Question
Enable confirming shifts: You do not have permission to confirm shifts as worked
Answer

Users can be of two basic types:

  • Supervisors: a supervisor can do anything possible with the Ava client system. They have unrestricted access.
  • Non supervisors: non supervisors can be restricted in their ability to carry out various tasks. This includes administrative task such as ticking shifts to then be included in payroll and invoice runs.

A non supervisor user may get the following message:

You do not have permission to confirm shifts as worked.
If you need this permission, it can be set by any supervisor.
They will need to select your permissions on the non-supervisor tab in Setup, Edit, Users

You do not have permission to confirm shifts as worked

By default restricted users do not have the ability to tick shifts for payment.

To resolve this for designated restricted users:

A supervisor needs to edit their permissions: this is done from the main menu, setup option, then users, then edit.

user setup menu

First ensure that the bookings option is ticked on the record card tab:

Security options ava pa non supervisor bookings

Then click on the "Non supervisor" tab and select the appropriate option from the drop down list:

The options allow grades or pay scales to be amended by the user and (independently) shifts to be confirmed as worked for payroll and invoice processing.

Security options ava pa non supervisor confirm and regrade

Now save.

That is it, the next time selected user logs in they will have the updated permissions.
