Reasons for the Employee payroll ref not set error

Occasionally the following message might occur when the payroll is reconciled: “Employee payroll ref not set”. In this case the employee has been on the ESR system and paid previously. A check of the ESR staff records to Ava import file opened in excel shows that there is a record for the Employee. Open their record card in AvaPA shows that the Payroll reference is indeed not set. However when the import is run again they do not appear in the “Assignment not matched” or “Incomplete Ava settings” tabs.

The simplest approach to resolving this problem is to type the employee’s surname or the assignment number from ESR in the “Incomplete Ava settings” with the all archives bock checked and click [filter by surname or assignment number]

In the top table you will see all Ava mappings: Name and Archive, in the bottom the ESR entries.

This can also be done in AvaPa in the search by name window with “all references” and “all archives” selected.

Delete the incorrect mappings. (In the import module or AvaPa). Re-import and map correctly.
